Version 2.4.1146
New Main Features
Checkin/Equipments
·
In the checkin form and in the
equipments management form, It has ben eliminated the double list of assigned
equipments and debited services: now a single list contains all the assigned
equipments, along with a checkbox that states if the equipment must be debited
or not. When you select an equipment kit, the list is automatically debited and
its components are set as free.
Trip management
Quick management of
guests on trips
Two
main features allow you to manage quick guests (like snorkelers or
excursionists) in a very easy and quick way.
Temporary guests
are clients that you
don’t want to be saved in your clients registry for future use: they will exist
only for the time that a trip is open and are deleted automatically at trip
closure.
Anonymous guest registration allows you to take bookings for group of
guests, before knowing their names/passports. You will then edit the needed
detail when they come to the center before going on boat. Imagine that your
sales departments take bookings for snorkelers and communicate to your counter
like “tomorrow we have 5 snorkelers, with voucher n. 123456”; you need
to put these guest on a boat as soon as possible in order to plan for your
activities, even if you don’t know yet their names.
Add quick guests
on the boat
-
First of all, when you
create the trip, be sure to define the basic services that this trip will
debit to the various type of participants, so that when they’re added to
the trip, Nautilus can assign them the right services
-
Select the excursion
in the weekly roster and click on the [Quick Guests] button in the right
toolbox
-
In the new registration form, you have
some options that set the way your guests are registeres and/or added to
the trip
The available options are self-explaining, and as you see you can event take the payment from the guest at the same time, but only if you are registering a single guest
-
If you select “Group
of Guests” as type of registration, then you can enter the number of
guests, and the only required information about the guests is a “group
name” (maybe you can enter the voucher number that has been issued by the
sales department); all the registered guests will have that name, followed
by a progressive number
à
-
Then you will select the type of activity that these guests are going
to do on the trip. When you select it, the debited services will be
selected automatically taking the detals defined for the trip, but in any
case you can change them freely as for your needs. At the same time you
can enter the subject that will take the selling and /or execution commission
on the activities
-
After clicking the save button, the guests are added to the trip, and
you have a visible clue that they have something to pay (remember they are
temporary, so they must pay before the trip is closed).
-
When the guest arrives
at the center and gives you his name, passport and payment, just select it
in the participant area and click on the [Edit] button at the right of the
area
in the Trip guest details form you can enter the real name, birth date, nationality, passport (just last name is compulsory), and you have a highlight about the needed payment for the excursion.
Clicking the [Collect] button you can directly register the payment.
-
After saving the guest
details, the guest list will reflect the new status. In the example, John
Smith has no more items to be paid, but the trip itself needs payments
from other temporary guests, so it’s highlighted with a red border
-
As for any other kind of guest on the trip (being him temporary or
registered), you can add extra services using the buttons on the right,
and/or editing any detail double clicking on the item in the list or
clicking the edit button beside the list
·
In
order to facilitate even more the editing of the participant details, you can
display the guests and their activities in a new “gridview” style.
Double-clicking on a grid row allows for editing of the participant and/or his
activities, in the same way done on the treeview display
Closing the trip
When the trip has returned and
all the
details of the guests have been entered
(i.e. extra activities, dive groups
details, etc.), it’s convenient to close the trip, so that it’s not highlighted
anymore.
Closing the trip deletes also all the possible
temporary guests that have been added to the trip. Once the trip has been
closed and temporary guests are deleted, only the incomings collected from
those guests remains in the system, while the guests cannot be recovered.
To close a trip, just click on the [CLOSE]
button in the excursion details box
Note: a closed trip can always be reopen if any
changes is needed
